Counting visits.
Our page counter sets no cookies and does not track you across other sites. It tells visits apart by a code that changes every day, so it cannot recognise you from one day to the next. For each page view it records the page, the site you came from, your country and your type of device, browser and operating system.
The company that provides the counter keeps these page-view records for up to 12 months. We keep only daily totals, which identify no one.
The “Don’t count my visits” switch at the foot of our pages keeps one small note in your browser to remember your choice. While that note is there, the counter’s script is not loaded at all.
Technical logs.
Our host keeps logs of requests to syncerauk.com and to the portal pages that serve our short links and forms (time, IP address, browser, page) for about 30 days.
When a portal page fetches something such as a team member’s photo from our database provider, the database provider keeps similar logs for about 90 days.
If one of our portal pages goes wrong, your browser sends an error report directly to our error-reporting service, with the codes in our links removed. Error reports are kept for 30 days.
QR codes and links.
QR codes (syncerauk.com/q/…). We never store your IP address.
Referral links (syncerauk.com/r/…). These are the links of our partners and team, and they take you to our Syncera Mobile shop. With whose link it was and when, we record a scrambled code of your IP address and browser that changes daily. When you give your email address at the shop’s checkout, the shop tells us that address and, if you order, your order, so we can credit and pay the person who referred you.
Checking a staff ID.
At our stands you can open a team member’s staff ID from a QR code. If you ask us to email you a copy, we send it through our email provider. We keep a scrambled code of your address, not the address.
Stopping misuse.
To stop our links and forms being misused, we keep a scrambled code of your IP address for one hour and, on our forms, a scrambled code of your email address for one day.
If you write to us.
Emails arrive in our mailbox, and our email provider passes them into our operations systems as a case. Our forms go straight to our operations systems, with a copy to our records mailbox. We acknowledge a complaint or a cancellation by email. An email to privacy@syncerauk.com is read by a person and logged.
No AI reads what you send us by email, form or at a stand. We used an AI tool to help sort messages in the past, but it is not used now. Before we use one again, we will sign its data processing terms and publish a new version of our website privacy notice.
Links a partner sends you.
If a partner asks us to email you a link to our Syncera Mobile shop, we send at most three a day to one address, and we check our do-not-send list before every send.
If you asked us to stop these emails, we keep a scrambled code of your address for as long as we send them, so we never send you one again.
Backups.
We make an encrypted copy of our systems every 3 hours, kept for 7 days, with one a day kept for 3 months and one a week kept for 12 months. We also keep a monthly encrypted copy of our files, used only to recover from a failure, and delete older copies on a rolling basis. Our database provider keeps its own daily backups for 7 days.
If we restore a copy, we re-apply deletions before using it.
Questions.
We describe our providers by what they do, not by name. Email privacy@syncerauk.com for their names, or to use any of your rights.
